This Cancellation Policy explains how refunds, cancellations, and rescheduling work for appointments booked through Pure Ear Care.
Pure Ear Care acts solely as a booking agent for Norwich Community Ear Care and other approved Clinical Providers (“Clinical Providers”). All clinical services are carried out by these independent providers.
- Cooling-Off Period (Distance Selling Regulations)
If you book your appointment online, by phone, email, or message, you are protected under the Consumer Contracts Regulations 2013, also known as Distance Selling Regulations.
1.1 14-Day Cancellation Right
You may cancel your appointment within 14 days of booking and receive a full refund, unless:
Your appointment is scheduled to take place within those 14 days.
1.2 Appointments Booked to Occur Within 14 Days
If your appointment is due to take place within 14 days of the booking date:
You acknowledge that you are requesting the service to be performed during the cooling-off period.
In this case, the deposit is non-refundable if you cancel.
This is a standard legal exemption for time-sensitive bookings. - Standard Cancellation Terms (Outside Cooling-Off Period)
These rules apply once the 14-day cooling-off period has passed or does not apply.
2.1 Cancellations with More than 24 Hours’ Notice
Your deposit will be refunded.
2.2 Cancellations with Less than 24 Hours’ Notice
The deposit may be retained to cover administrative and clinician preparation time.
This reflects the short notice and the lost appointment slot for the Clinical Provider. - No-Show Policy
If you fail to attend your appointment without notifying us:
Your deposit will be retained.
You may need to pay a new deposit if you want to book again. - Rescheduling
4.1 More Than 24 Hours’ Notice
You may reschedule your appointment without penalty.
4.2 Less Than 24 Hours’ Notice
Rescheduling may require a new deposit, as the original clinician’s appointment slot has been lost. - Consultation Fee (No Wax Removed)
If the Clinical Provider is unable to remove any wax during your appointment due to:
No wax being present, or
Conditions making treatment unsafe
then the appointment is treated as a consultation and a £32.50 consultation fee applies.
This fee covers:
Clinical assessment
Use of medical equipment
Professional advice
Time reserved with the clinician
This fee may be payable even if the appointment is cancelled late or not attended. - Clinical Provider Responsibility
All clinical work is carried out by Norwich Community Ear Care and other approved Clinical Providers, not by Pure Ear Care.
Pure Ear Care does not influence clinical decisions and does not accept liability for clinical outcomes.
Any questions relating to treatment, safety, clinical refusal, or aftercare should be directed to the Clinical Provider who carried out (or was scheduled to carry out) your appointment. - Contact Us
